Privacy Policy for PIE Transcription Recorder

PIE Operating, LLC (“PIE,” “we,” “us,” or “our”) provides the PIE Transcription Recorder mobile application for authorized employees and affiliated business users. This Privacy Policy explains what information is processed when the application is used, why it is processed, and how users may contact us regarding their information.
Information Processed by the App
The application uses Microsoft Entra ID and Microsoft 365 to authenticate authorized organizational users. During sign-in, the application may process the user’s Microsoft account address, user principal name, organization or tenant identifier, and authentication tokens. The application does not request or store the user’s Microsoft account password. Authentication tokens are handled through Microsoft’s authentication services and the secure credential-storage facilities provided by the mobile operating system.
The application accesses the device microphone only after the user presses Record and grants microphone permission. The resulting audio recording is temporarily stored on the device while it is being recorded and prepared for transmission.
When the user presses Stop-Send, the application sends the audio recording as an email attachment through the user’s signed-in Microsoft 365 account to:

The recording is processed by PIE Operating’s private transcription system, and the completed text transcript is returned to the original sender by email.
The application may also produce limited operational information, such as authentication errors, recording status, upload progress, and transmission errors. PIE may use this information to operate, secure, maintain, and troubleshoot the application.
How Information Is Used
PIE uses the information processed through the application only to authenticate authorized users, record audio at the user’s direction, transmit the recording for transcription, return the completed transcript, provide technical support, protect the application and related systems, and comply with applicable business, legal, security, and record-retention requirements.
PIE does not use audio recordings, transcripts, Microsoft account information, or application activity for advertising, behavioral profiling, or cross-app tracking. PIE does not sell personal information collected through the application.
Information Sharing
Information may be processed by PIE Operating personnel and PIE-operated systems that are involved in receiving, transcribing, supporting, securing, or maintaining the service.
Microsoft services, including Microsoft Entra ID, Microsoft Authenticator, Microsoft Graph, and Exchange Online, are used for account authentication and email transmission. Apple provides application distribution and mobile operating-system services. Microsoft and Apple may process information independently under their respective privacy policies and service terms.
PIE does not disclose recordings, transcripts, or account information to unrelated third parties except when required by law, necessary to protect PIE’s rights or systems, or authorized by the user or the user’s organization.
Storage and Retention
The application is designed to delete its temporary local copy of an audio recording after the recording has been sent successfully. If transmission fails, the temporary recording may remain on the device so the user can retry. Clearing the application’s data or uninstalling the application removes locally stored application data, but it does not remove messages or attachments that have already been sent.
Copies of recordings or transcripts may remain in the sender’s Microsoft 365 Sent Items, the PIE transcription mailbox, returned email messages, transcription-processing systems, system logs, or backups. These records are retained only as necessary for business operations, troubleshooting, security, legal obligations, and PIE Operating’s applicable record-retention policies.
Security
PIE uses reasonable administrative, technical, and organizational safeguards intended to protect information processed through the application. These safeguards include Microsoft organizational authentication, access restrictions, secure network communications, and access-controlled company systems.
No electronic transmission or storage system can be guaranteed to be completely secure. Users should protect their device, Microsoft account, and email access and should promptly report suspected unauthorized access.
User Choices and Requests
Users may deny microphone permission, choose not to record audio, cancel Microsoft sign-in, or stop using the application. The application also permits users to sign out and change the Microsoft account used with the app.
Removing the application from a device does not automatically delete recordings or transcripts that were previously transmitted by email. Users may contact PIE to request information about, correction of, or deletion of records associated with their use of the application. Some records may need to be retained for legal, contractual, security, backup, or legitimate business purposes.
Children’s Privacy
PIE Transcription Recorder is a business application intended for authorized employees and affiliated organizational users. It is not directed to children under 13, and PIE does not knowingly use the application to collect information from children.
Changes to This Policy
PIE may update this Privacy Policy when the application, transcription service, legal requirements, or data-handling practices change. The effective date at the top of this page will be updated when material changes are made.
